Take notes in a Zoom meeting

SaysHere takes notes in a Zoom meeting through your own Zoom account. Nothing joins the meeting. Zoom shares the meeting's sound with the SaysHere app and shows everyone that the meeting's content is being sent to an app.

What you need. Bot time: the free hour to try the bot, or bot hours you bought. A Zoom meeting you host or are invited to, and you in that meeting when you start. Notes in a Zoom meeting use bot time and last at most 4 hours.

Connect Zoom

Zoom is reviewing SaysHere's app. Until Zoom approves it, only SaysHere's team and Zoom's reviewers can connect.

In your own workspace, open Bots and choose a bot. Its page opens on Send. Paste the Zoom meeting's link under Meeting link, press Connect Zoom and allow SaysHere on Zoom's screen. Zoom brings you back to SaysHere, where a key named for the bot, such as "Back to the Notes bot", takes you back to its page.

The bot's page then says Zoom is connected. The connection stays until you disconnect it. If Zoom's screen says your account cannot add the app, your Zoom admin may need to allow it.

Take notes

With the meeting's link in the form, press Get the notice. Copy the notice, paste it in the Zoom meeting's chat, and tick I pasted it in the meeting's chat. The notice names you, says what SaysHere does, and holds the link anyone in the meeting can use to stop it.

Press Start taking notes. If you are not the host, Zoom asks the host to allow SaysHere. It waits 2 minutes for them. Zoom then shows everyone in the meeting that its content is being sent to an app, and the transcript shows on the bot's page as people talk.

Notes in a Zoom meeting start now, while you are in it. SaysHere transcribes English only.

Stop the notes

Press Stop to stop, or Stop and delete to stop and delete everything SaysHere took. Stop keeps the transcript only if you chose to keep it in your account. The notes also stop when the meeting ends.

Anyone in the meeting can open the notice's link and press Stop it now, and the host can stop the app from Zoom's own controls. Either one ends the notes and deletes everything SaysHere took.

When notes do not start

The run's card shows Did not start and why, with what to change:

  • Zoom's setting “Share realtime meeting content with apps” is off. Turn it on in your Zoom settings, or ask your Zoom admin or the meeting's host to.
  • Zoom's setting “Allow apps to access meeting content” does not list SaysHere. Add it there in your Zoom settings, or ask your Zoom admin or the meeting's host to.
  • Zoom lets only the host, or a person on the invitation who is in the meeting, start SaysHere. Ask the host to add you to the invitation, or to start SaysHere themselves.
  • The meeting had not started. Join it in Zoom first.
  • The host did not allow SaysHere within 2 minutes. Ask them to press Allow when Zoom asks.

Each notice starts notes once, and its link stops only those notes. To try again, get a new notice and paste it in the chat.

What SaysHere does with a Zoom meeting

SaysHere records no audio. Zoom sends the meeting's mixed sound to our server only while notes you started are running. Deepgram turns it into text, and the sound is dropped at once.

If you chose to keep the transcript in your account, our server keeps it as a session in your Library until you delete it, and OpenAI writes the session's notes from it. If you did not, our server keeps nothing of the meeting after the notes stop.

Connecting Zoom gives SaysHere four permissions: the meeting's audio, starting and stopping its own stream for you, the meeting's details, and your Zoom user's details. We use the last two to check that you host the meeting or are on its invitation before notes start. We keep your Zoom user id, your Zoom account id and the two tokens Zoom issues, sealed, until you disconnect.

Disconnect Zoom or remove SaysHere

Press Disconnect Zoom on a bot's page in your own workspace. The notes under way stop, and what they took is deleted. Transcripts you kept stay in your account.

To remove SaysHere from your Zoom account, sign in to the Zoom App Marketplace, open Manage, then Added Apps, select SaysHere and press Remove. Removing SaysHere in Zoom also deletes the transcripts and Library copies made from your earlier Zoom meetings. We remove the connection after its streams have closed and the deletion has finished.

Deleting your SaysHere account deletes the connection and everything it made.
