Send the bot from Google Calendar
Connect Google Calendar to see your Google Meet and Teams meetings for the next seven days on your default bot's page, and send the bot to any of them.
On this page
What you need. A SaysHere account with keeping sessions turned on, bot time, and a Google account whose calendar holds your meetings.
Connect Google Calendar
Open Integrations and press Connect Google Calendar in the Google Calendar panel. Google asks you to choose an account and to allow SaysHere Calendar to see the events on the calendars you own.
Back on Integrations, a notice says "Google Calendar is connected." The panel shows the address you connected and "Reading your calendar" until SaysHere has read your calendar once.
What SaysHere reads
Can see the events on Google calendars you own. SaysHere reads your primary calendar's next seven days for the meetings its bot can join, and who is invited to them.
SaysHere asks Google for one permission, the Google Calendar read-only permission for calendars you own (https://www.googleapis.com/auth/calendar.events.owned.readonly), separately from signing in. The Google Calendar panel on Integrations shows it. SaysHere reads meeting titles from Google each time it lists them and keeps no title.
See your upcoming meetings
In your own workspace, open the bots list and choose the bot marked "Used when no bot is chosen", the one the calendar sends. On its Send tab, Upcoming lists the meetings on your primary calendar for the next seven days that have a Google Meet or Teams link, under Today, Tomorrow and each later date, in your own time zone. Each meeting shows its times, its title, its platform and how many people are invited. Under the list, the form under Send by link sends the bot to any other meeting by its link.
If SaysHere can't reach Google, the list keeps the meetings it has already read, without their titles, and says "Couldn't reach Google Calendar. Bots already booked still join their meetings." Press Try again to read your calendar again.
Send the bot to a meeting
Turn on the switch beside a meeting. If keeping sessions is off in your account, SaysHere asks you to turn it on first, since the bot keeps each meeting's session there, and the meeting stays off until you do.
SaysHere books the bot 15 minutes before the meeting starts, or at once when it starts sooner, and the bot joins at the start. The line under the meeting then says it is booked and when the bot joins. To cancel, turn the switch off before the meeting starts. The bot uses your bot time in the meeting, as a bot sent by its link does, and the Send tab shows the time you have left above Upcoming.
Why a meeting won't join
The line under a meeting says why the bot won't join it.
- Skipped by you
- You turned the meeting off. Turn it on again to send the bot.
- Not in your rule
- Your rule joins only the meetings you organize. Turn the meeting on to send the bot anyway.
- No one else is invited
- Your rule joins a meeting only when someone else is invited. Turn the meeting on to send the bot anyway.
- Overlaps a meeting the bot joins
- The bot joins one meeting at a time. Turn this meeting on to send the bot here instead.
- You declined this invitation
- Accept the invitation in Google Calendar, and the meeting can be turned on again.
- No Google Meet or Teams link
- The event no longer holds a Google Meet or Teams link. Add one in Google Calendar.
- Canceled in your calendar
- The event was canceled in Google Calendar. A bot booked for it is canceled too.
- Moved beyond the next seven days
- The meeting moved more than seven days ahead. It comes back to the list once it is within seven days.
- Turn on keeping sessions in your account to let the bot join
- Every bot sent from your calendar keeps its session in your account, so keeping sessions must be on.
- No bot time left
- Too little of your bot time is left to book the bot. The bot's Send tab shows the time you have left.
- This workspace can't send a bot
- The calendar sends the bot from your personal workspace, which can't send a bot now.
- The bot couldn't join
- The bot's run on its Send tab says what happened.
Disconnect Google Calendar
Press Disconnect in the Google Calendar panel. When "Disconnect Google Calendar?" opens, press Disconnect again. SaysHere deletes the connection and its record of your upcoming meetings. It cancels the bots it booked from your calendar that haven't joined, and asks Google to end its access. Bots that already joined and bots you sent by a link stay. Deleting your account deletes the connection and its record of your meetings too.
If Google doesn't confirm that the access has ended, the panel says "Disconnected from SaysHere. Remove SaysHere Calendar on your Google Account's linked apps page to finish." Open your Google Account's linked apps page and select Access to your Google Account. Then select SaysHere Calendar, See details, Remove access and Confirm. Back on Integrations, press I removed it in my Google Account.
